In 2015, Agenus implemented ADP Workforce Now for Core HR payroll operations. ADP Workforce Now was used for payroll only, supporting full cycle, multi state, bi weekly payroll processing for 250 exempt and non exempt US employees.
The deployment also included administration of monthly payroll coordination for 50 UK employees processed through an outside payroll provider, while maintaining the ADP Workforce Now database with confidential employee information. Routine HR actions were executed in Workforce Now, including hiring and terminating employees and updating deduction and taxation information.
Technical integration work included processes to upload timesheet data from Oracle R12 into ADP Workforce Now with manual adjustments as necessary, and preparation and booking of payroll journal entries back into Oracle R12. The team administered the Neon timecard system in parallel, prepared and submitted 401k, ESPP, and FSA deduction files to benefit providers, and prepared and reviewed quarterly and annual federal, state, and local tax filings.
Operational governance centered on payroll and finance workflows, with controls for payroll reconciliation, timesheet adjustment procedures, benefit deduction transmission, and confidential data maintenance. The implementation tied Core HR payroll execution to finance and benefits administration across US multi state operations and UK payroll coordination.
