Oracle Microsoft Dynamics GP Oracle NetSuite ERP ERP Financial ERP n/a 2020 2020
In 2020, AHRC Suffolk implemented Oracle NetSuite ERP to centralize core accounting and finance functions, deploying the solution under the ERP Financial category. The deployment was scoped to support the nonprofit’s full financial lifecycle and to standardize accounting operations across the finance department. Within Oracle NetSuite ERP the implementation configured modules for general ledger, accounts payable, accounts receivable and project accounting, and it formalized month end routines including A/P accrual and general ledger reconciliations. Tax related processes including 1099 handling were incorporated into transaction flows, and payment workflows were set up to process ACH, credit cards, wires and paper checks. Invoice handling workflows covered multiple invoice types such as general overhead, subcontractor invoices and employee travel reimbursements, with data entry, validation and processing controls implemented alongside internal templates to standardize procedures. The project replaced Microsoft Dynamics GP and included data migration and validation of vendor and transaction records to the new system. Operational coverage included an on-site Financial Specialist based in Bohemia, New York who performed day to day A/P and A/R tasks, month end close activities, payment execution and ongoing system validation. The role also assisted with tax processes and 1099 filing, maintaining alignment between system processes and documented company policies. Governance emphasized process standardization and control, establishing reconciliation cadences, role based responsibilities and templates to enforce policy adherence and accuracy. The Financial Specialist position carried responsibility for evaluating and assisting with additional software to further streamline financial processes, while ensuring communication and customer service responsibilities were maintained for internal stakeholders.
