In 2018 Anova Health Institute implemented Sage Pastel Accounting as its core financial application, classified under ERP Financial. The implementation was framed by a formal RFP that sought a fully integrated ERP capable of supporting Finance, Payroll and Human Resources, with Payroll and Finance targeted for fast-track deployment by January 2020 and the balance of modules completed no later than July 2020.
The Sage Pastel Accounting deployment encompassed Finance and Accounting ledgers and statutory reporting, Payroll, HR with Employee Self Service, time and attendance with biometric capture, procurement and scanning that includes barcodes, asset and inventory management, a workflow engine, and logistics and fleet management. The RFP specifies that all transactions be backdated from 01 October to go live, that biometric clocking must support finger or hand readers for all staff, and that Anova has approximately 150 vehicles to be managed within the fleet tracking capability. The RFP also indicates that all 3,000 employees must have access to ESS and that proposals should include user tier pricing such as 0-100 and 101-1000 bands.
Architecturally proposers were required to cost both on-premise and cloud deployment options for Sage Pastel Accounting and to recommend the preferred model, with biometric data storage allowed either on-premise or in the cloud based on industry standards. Reporting integration considerations include compatibility with Pastel Evolution which Anova currently uses for statutory financial reports, and a requirement for transparent currency calculations and visible conversion rate data. Time and attendance and fleet tracking are intended to replace manual processes with automated capture and tracking functionality.
Governance and rollout expectations were explicit in the RFP, proposers were asked to recommend a structure for super users versus team members, permissions by departmental level, and to include staffing recommendations such as change manager and transition manager roles where appropriate. Shortlisted proposers would be notified rapidly with evaluations intended within 48 hours and demonstrations scheduled immediately, and budget responses were to include cost differentials for backdated transactions and user count scenarios. Donor and funder audit trail options and flexible reporting requirements were called out as configurable governance features to be addressed during requirements specification.
