In 2012, AOK SYSTEMS implemented tt Knowledge Force to produce the so called brief instructions that accompany classroom training and to centralize authoring of step by step operational documentation. The deployment targeted training media production and ongoing maintenance, producing about 1,600 documents that describe over 70 main processes, each running between five and fifteen pages.
The implementation used the tt Knowledge Force authoring tool exclusively for document production, leveraging its structured presentation capabilities to ensure that no process steps within oscare® are omitted from the documentation. The solution’s re recording function is a core capability used to quickly adapt media after release changes, and the product’s basic functions support structured process oriented documentation and consistent instructional layout.
Oscare® is explicitly used to describe the individual recording steps in a process oriented manner, establishing a content workflow between oscare® process definitions and the tt Knowledge Force authored outputs. tt Knowledge Force has been used both to update media for existing software components and to create brief instructions for new software modules, with an initial cadence aligned to frequent releases and a later cadence of annual updates.
The first authors were trained by tts, and AOK SYSTEMS embedded authoring responsibilities into its internal coaching staff who now perform annual media adjustments. Authors at AOK SYSTEMS adapted brief instructions at each major release during the product maturation phase, then shifted to a governance model where coaching staff maintain and update the corpus.
Explicit outcomes reported include a reduction of approximately 50% of the effort for updating existing documents and approximately 30% of the effort for creating a new document per document, these savings freeing trainers to spend more time on training and client advisory activities.
