Operationally the Exela Lockbox deployment was integrated into existing reconciliation and collections workflows that referenced Excel and QuickBooks records, while arrears monitoring and collection outreach continued to use Total Information Management System TIMS and SourceHOV as part of daily operations. Process flows delivered processed remittance records and scanned check images into ARC3 Gases reconciliation routines, supporting cash application and bank deposit traceability used by AR staff. Governance and day to day operations kept Accounts Receivable and Billing management accountable for exception resolution, customer notifications, and record keeping. Frontline AR responsibilities remained confirming order forms and invoices, recording transactions and cash deposits, monitoring overdue accounts, and documenting customer interactions, with Exela Lockbox outputs used to streamline posting and focus staff activity on collections and dispute resolution.

The integration maps TIMS files such as Customer Ledger, Receipts Header File, A/R Check Details, Customer Master, Address Book Master, Address By Date, Currency Codes and Currency Exchange Rates, and consumes bank lockbox and statement formats including BAI and MT940 as well as remittance sources in HTML, TXT, EDI, PDF and Excel. The solution leverages OCR and digitization with machine learning to read remittances and reconcile high volumes of email and scanned remittances, enabling invoice level matching for treasury and accounts receivable. Operational scope focused on finance, accounts receivable, treasury and distribution operations, tying cylinder inventory and order processing into financial reconciliation. Governance was implemented through TIMS standard interfaces and post-back procedures so automated matches and reconciliations executed in Cashbook post back into TIMS. Cashbook materials state the integrated setup can increase cash flow visibility, eliminate manual posting tasks, reduce days sales outstanding and improve cash visibility for TIMS customers, outcomes positioned as benefits of the ARC3 Gases TIMS Industrial ERP and Cashbook integration.
