The initiative replaced Kuali Financials and was positioned to consolidate campus financial operations in support of the universitys New American University model.
Workday Financial Management was configured to consolidate accounting, accounts payable, capital asset and purchasing processes into a single platform, establishing a unified ledger and standardized transaction workflows across administrative units. The implementation leveraged Workdays twice yearly software update cadence to keep regulatory reporting and industry best practices current within the financial management environment.
The deployment addressed cross-university administrative coverage, enabling reconfiguration of financial infrastructure toward a more flexible structure to support evolving organizational models and centralized fiscal control. Arizona State University implemented AssetWorks Asset Performance Assessment in 2018 to strengthen its Capital Asset Management practice and to centralize tracking for research and academic capital assets. The implementation supported the Capital Asset Management team, known as CAM, which is responsible for tagging movable equipment with a value of $5,000 or more, coordinating a biennial inventory per PCS 600, and maintaining audit and sponsor reporting obligations required by the Office of Naval Research.
AssetWorks Asset Performance Assessment is used as an internal system to record both capital and noncapital assets, and to execute equipment disposal requests once items are deemed surplus. Functional capabilities implemented include asset record creation and attribute management, location transfer workflows, barcode tag issuance and tracking, department-level reporting tied to cost centers, and disposal request processing. The system configuration reflects the university policy threshold for tagging and supports departmental updates to existing asset records.
The deployment is integrated operationally with Workday for maintenance of capital asset records and lifecycle tracking from acquisition through retirement, with AssetWorks serving as the transactional asset repository for tagging, inventory and surplus workflows. Operational coverage spans CAM centrally and the broader ASU community of departments and cost centers, with defined processes for requesting AssetWorks access, resolving record access issues, and obtaining barcode tags for sensitive noncapital equipment.
Governance and process changes formalized through the implementation include CAM coordination of tagging events, the biennial inventory cadence, and procedures for responding to auditor and sponsor requests. AssetWorks Asset Performance Assessment supports surplus property procedures and audit readiness which are critical because annual approvals from the Office of Naval Research directly affect ASU ability to purchase assets on contracts and grants.
