| ADP | Legacy | ADP SmartCompliance | Payroll Tax Compliance | HCM | n/a | 2018 | 2018 |
In 2018, Axcess Financial deployed ADP SmartCompliance to centralize Payroll Tax Compliance and standardize payroll tax operations across its multi state footprint. The deployment positioned ADP SmartCompliance as the primary application for payroll tax filings, W2 processing, end of year reconciliation, and full company tax audit workflows, while supporting routine payroll processing performed every other month by a rotating payroll analyst team.
ADP SmartCompliance was configured to manage jurisdictional tax rules including state withholding, SUI, and local taxes, and to generate required tax filings and W2 outputs. The implementation included modules for tax calculation and filing orchestration, year end reconciliation, and file distribution via ADP Aline card processing for final wage disbursements, with operational controls for retroactive adjustments and payroll deductions.
The implementation integrated operationally with Workday for maintenance of payroll deductions, benefit and 401K adjustments, and retro processing, reflecting a coordinated payroll and HR record model during the broader Workday Implementation and accompanying Workday training and certifications. Operational coverage included multi worksite reporting and the delivery of monthly and quarterly financial reports to Treasury and Accounting, with the payroll function providing quarterly tax assistance alongside the payroll manager.
Governance and execution combined procedural controls and role based responsibilities, with rotating payroll analyst ownership of bi monthly payroll runs, a documented cadence for monthly and quarterly reporting, and direct employee and manager correspondence processes for payroll inquiries. The program also incorporated internal audit readiness through the full company tax audit process, and hands on Workday training to align payroll tax controls with HR and finance workflows.
