In 2018, Babson College implemented Workday Financial Management. The deployment established Workday Financial Management as the institution's ERP Financial system for campus wide financial operations and positioned the application as the primary platform for financial reporting and transactional processes.
Configuration work focused on Workday Financial Management modules such as core financials and procure to pay workflows, with heavy use of business process configuration, configurable security, custom notifications, and tenant management. Administration included authentication policy, user security and access, and integration security controls. Reporting capabilities were implemented using Workday Report Writer, Advanced Reporting and Analytics, calculated fields, composite reporting, and BIRT report design.
Integrations and data migration were core elements of the rollout, with a data conversion project migrating financial master and transactional data from Microsoft Dynamics GP 2013 to Workday Financial Management during a one and a half year implementation phase. The platform also incorporated a third party proxy for integration security and operational integrations supporting campus financial operations. Operational ownership rested with the Financial Information Systems team, which served as the stakeholder for campus wide Workday operations.
Governance included a dedicated core team led by the college technical lead for configuration and security, day to day administration of financials, and team training in Financials Fundamentals, Procure to Pay Fundamentals, Integration Security, and Configurable Security. The implementation reached go live in July 2019 and the same administrative framework later contributed to the phased Workday Student project with a 2021 go live. Workday Financial Management, classified under ERP Financial, became the central system for Babson College financial operations and reporting.
