In 2020 Basney Imports implemented Dealertrack DMS to standardize Dealership Management workflows at its South Bend, IN retail location. Dealertrack DMS was adopted as the primary dealer management application to centralize front-office transaction handling and to provide an enterprise record for vehicle pre-delivery inspection and service intake. The deployment focused on service intake and document management capabilities within Dealertrack DMS, including pre-delivery inspection paperwork, service scheduling inputs, cashiering and accounts receivable tasks, and the creation and tracking of customer work files. Administrative processes were configured for receipt processing, invoicing setup, payment reconciliation and month-end closing activities, aligning system use with daily service department operations and SPIFF reporting. Operationally Dealertrack DMS was used alongside CCC ONE for estimating, ARMS for rental updates, and OneView for scanned service department records, with workflows organized to hand off estimating, rental and scanned document tasks between those applications and Dealertrack. Role and governance responsibilities were concentrated in front-office and service administrative functions, with the administrative assistant maintaining customer and vendor files, preparing vendor checks, matching invoices to documentation and ensuring scanned records and Dealertrack entries supported month-end reconciliation.
