In 2015 BI WORLDWIDE upgraded its PeopleSoft Financials from 8.8 to 9.2 and implemented Oracle PeopleSoft Payables as AP Automation to standardize accounts payable, procurement invoicing, supplier onboarding, and settlement processes. The program targeted the PeopleSoft modules ePro, PO, INV, AP, eSupplier and eSettlements and was executed with a PeopleSoft Financials Functional Lead Consultant engagement based in Minneapolis from October 2015 through August 2016.
The implementation emphasis was on customization rationalization and functional alignment. The consultant facilitated and documented more than 250 customizations across the PeopleSoft modules, conducted fit gap analysis to map custom behavior to delivered functionality, and walked stakeholders through the PeopleSoft Cumulative Overview Feature to identify features to adopt and demos required. Functional designs were authored for customizations that needed replacement or reengineering, and detailed configuration changes for the modules were captured to create a clear configuration baseline.
Testing and release management were structured around functional test plans and scenario based test cases. The team developed Test Plans and Test Cases, managed test move execution and performed cutover tasks for invoicing, purchase order processing, electronic procurement, supplier management and settlements, aligning validation scenarios with the documented functional designs and configuration baselines. Demonstrations of new and changed functionality were used to secure stakeholder sign off and to sequence cutover activities.
Governance focused on formalizing decision making for customization retention versus adoption of out of the box capabilities, using the fit gap documentation and functional designs as change control artifacts. The Oracle PeopleSoft Payables deployment acted as the AP Automation layer within BI WORLDWIDEs PeopleSoft Financials footprint, impacting accounts payable and procurement operations and establishing a documented foundation for ongoing maintenance and future upgrades.

Implementation work included operational coordination with Salesforce and WebEx, with the administrator delivering formal training, creating training guides, and providing ongoing support across the three systems. Governance was organized around a designated Sales Operations HRIS admin responsible for user provisioning, training, and cross system onboarding workflows, ensuring consistent operational procedures across ADP Workforce Now, Salesforce, and WebEx for BI WORLDWIDE US sales and marketing staff.

Operational integration used both live connections and data extracts, with data blending employed to combine disparate data sets for cross-source analysis. Tableau Server was used to publish scheduled reports, enforce user access restrictions and permissions, and distribute executive level reports to senior management, enabling a governed publishing pipeline.
Governance and rollout included formalized report scheduling and permission management on Tableau Server, end user training led by in-house Tableau developers, and development of knowledge transfer documentation. Training and documentation supported adoption among analytics practitioners and business report consumers, aligning authoring practices and server governance for ongoing Analytics and BI operations.
