In 2023, Boulay Group implemented Deltek Maconomy as its ERP Financial platform. The deployment consolidated core professional services financial functions including time and expense management, project budgeting and scheduling, people planning and general ledger to create a centralized financial operating layer for the firm.
Boulay configured Deltek Maconomy to support audit department workflows, with project budgeting executed in Maconomy and scheduling driven by People Planner. People Planner was embedded into the Maconomy Workspace Client, enabling a seamless scheduling to budget workflow, and Boulay’s business intelligence team developed Power BI reports that combine schedule, budget, and prior year hours from Maconomy to provide 12 month capacity visibility.
The implementation included a cloud migration to Deltek’s managed cloud, completed in two and a half months, with Deltek cloud services providing infrastructure, 24/7 monitoring and enhanced security. Boulay integrated a forecasting and budgeting solution from Prophix via the Deltek Marketplace to feed Maconomy financials, and the integrated Prophix connection has been used to improve forecast accuracy by twenty percent as reported by the firm.
Governance and rollout leveraged Deltek Professional Services for implementation and upgrades, a choice Boulay cites as reducing upgrade timelines by fifty percent. Future plans documented by the firm include expanding Maconomy human resources capabilities, adopting mobile functionality for auditors working with limited connectivity, and using Maconomy native business process automation to eliminate repetitive tasks, while maintaining data migration and solution interoperability as core governance priorities.

In 2022, Boulay Group centralized engagement file storage on Caseware Cloud and formalized use of Caseware IDEA within its Analytics and BI tooling to strengthen security, operational flexibility and scalability. The initiative consolidated workpapers and analytics into a cloud hosted Caseware environment while preserving the firm workflow built around Caseware Working Papers and SmartSync Server connections for day to day engagement work.
The implementation combined Caseware Working Papers content storage with Caseware IDEA for data analysis, enabling analytics capabilities to identify trends, patterns and outliers across engagements. Caseware IDEA was used to support audit and assurance analytics and to augment risk and advisory workflows, while Caseware Cloud hosted engagement files to provide secure collaboration and connectivity for audit teams.
Operational deployment covered Boulay offices in Minnesota and Florida and supported staff distributed across more than 30 U.S. states plus offshore contractors, reflecting firmwide adoption across assurance, tax and consulting practice areas. Security and access controls were configured with single sign on, multi factor authentication and AES 256 encryption for data at rest, and file access permissions were restructured to enable least privileged access for geographically dispersed users. The environment retained hybrid characteristics, allowing staff to continue working in familiar Working Papers interfaces while using cloud file storage and API capable services for future integrations.
Governance and rollout were driven by Boulay’s IT and learning and development teams, using cross department pilot groups to validate workflows and training materials. The team migrated approximately 40,000 Working Papers files to Caseware Cloud in less than four months, with about 200 files published manually due to exceptions. Boulay is evaluating additional Caseware products such as Sherlock and the OnPoint suite to extend project management dashboards and methodology driven audits, while continuing to use Caseware IDEA for engagement level analytics.
