| Microsoft | Legacy | Microsoft Dynamics GP | ERP Financial | ERP | n/a | 2016 | 2016 |
In 2016, BPI Sports implemented Microsoft Dynamics GP as its core ERP Financial system. The deployment centralized accounts receivable and core financial processes under the ERP Financial category to support corporate finance operations.
Configuration focused on Accounts Receivable capabilities within Microsoft Dynamics GP, including cash application, credit memo management, customer aging, dispute handling, and month end reconciliation. Cash application workflows covered incoming ACH payments discovered via customer portals and manual posting of mailed checks, credit memos were used to write off advertising and promotional credits, and reconciliations tied payments, credits, and sales invoices together in Great Plains.
Operational coverage included the accounts receivable team, billing function, and the sales organization which received customer aging reports for collections and forecasting. The implementation incorporated merchant credit card reconciliation into the accounting ledger and required AR specialists to balance the merchant account to what is recorded in Great Plains as part of month end procedures.
Governance established formal reconciliation and dispute resolution workflows, with AR staff investigating shortages or claims with billing to obtain supporting documentation for disputes. Process controls emphasized credit memo write off procedures, regular aging report distribution to sales, and reconciliation steps to ensure that applied payments and refunded credits tie out across accounts.
