Bradken implemented Basware AP Automation in 2016 to manage Accounts Payable operations, establishing Basware AP Automation as the AP Automation platform for invoice-to-pay processing at its Ipswich manufacturing site and for reporting to corporate finance. The implementation covered day-to-day AP activities and was operated by site administration and procurement teams from 2016 to present.
The deployment emphasized invoice processing and purchase order workflows, with Basware AP Automation used for invoice capture and coding, linking invoices to purchase orders for payment authorization, issuing purchase orders to vendors, and recording inwards goods receipting. The configuration supported AP workflow routing and approval steps used by site approvers and accounts payable staff, aligning the application to standard procure-to-pay controls.
Operationally the Basware AP Automation environment ran alongside other site systems including Unibis manufacturing software and Fraedom expense management, with users coordinating vendor setup, purchase order issuance, and weekly receipting activities through the application. The solution was applied at the Ipswich site with weekly operational processing of labour hire invoices, receipting of hours, and monthly reporting upstream to the corporate office, reflecting cross-functional use between procurement, accounts payable, HR administration and site management.
Governance and process responsibilities embedded in the deployment included invoice coding and PO linking for payment, raising requisitions and purchase orders, sending purchase orders to vendors, inwards goods receipting, and ongoing invoice processing through Basware AP Automation. Site administrators acted as subject matter experts for vendor onboarding for personal protective equipment and maintained ongoing AP processing and reporting workflows within the Basware AP Automation environment.

The implementation emphasized the maintenance planner role and day to day work order lifecycle to support shopfloor maintenance coordination and contractor oversight.
Core functional capabilities configured in MEX Maintenance included work order management with generation and closure of work orders, planned maintenance and service procedure scheduling, maintenance records and document management, contractor induction and contractor management workflows, and creation of purchase requisitions tied to maintenance activities. The Maintenance Planner training record indicates operational use of these capabilities for coordinating repairs, planning servicing, and maintaining electronic maintenance records.
Operational integrations and coverage reflected explicit accounting and operational handoffs, including entering timesheet data from the maintenance function into the company Accounting System and coordinating service delivery from external providers. The deployment served manufacturing departments and facility mobile equipment, enabling clear communication channels between maintenance and production for prioritization and service scheduling.
Governance and process controls were instituted through planner-led procedures, adherence to company safety regulations, contractor induction processes, and routine collection of statistical task information to support timely reporting.
