The solution matched basic barcode metadata against Brakes accounting database records to locate corresponding entries for retrieval index population, then loaded images and supporting index data into the Capita Swordfish Document Management web interface for user access. Processed hard copy documents were securely destroyed after four weeks under the managed service. Governance and workflow changes were implemented as part of the fully managed outsource model, with service level agreements governing collection, processing and secure 24/7 access. The service introduced structured reporting to highlight misplaced or lost documents and embedded document attachment into invoice processing workflows to ensure PODs were available for dispute resolution and credit control. Explicit outcomes reported by Brakes include higher output with lower outgoings, total local access to business information without added risk, faster access to customer files improving operational agility, and a low cost of entry via the managed Capita Swordfish Document Management service delivered to agreed service levels.
