In 2017, Calastone implemented Oracle NetSuite ERP to consolidate finance operations across its international footprint in the United Kingdom, United States, Hong Kong, Australia and Luxembourg. The ERP Financial deployment was scoped to provide centralized, cloud based access for staff across subsidiaries and to standardize forecasting, budgeting, profit and loss and cash flow reporting.
Cooper Software installed and configured the NetSuite financial module, delivering consolidated charts of accounts, inter company journal and invoice processing, income statements and balance sheets both consolidated and non consolidated in each subsidiary currency. The implementation included reporting and KPI frameworks, user tailored real time dashboards, and mobile access to transactional and summary financial data. Off the shelf utilities and tools were applied to accelerate data migration, data tidying and the creation of reports and queries, reducing manual project tasks.
The solution centralized Calastone key business data on a single cloud platform, eliminating the need to manage information across four disparate finance systems and enabling staff to access up to the minute information from any location. Operational coverage focused on finance functions including budgeting, forecasting, inter company accounting and cash collection workflows across all subsidiaries, with multi currency consolidation capabilities built into reporting.
Project governance followed Cooper Software five step methodology, including Kick off and Initiation, process and set up, solution workshops, end user training, and go live and support, which supported a coordinated rollout and user enablement. Delivery efficiencies from prebuilt utilities helped maintain the project schedule and budget while ensuring the targeted functionality was delivered.
Post implementation Calastone reported finance administrative time savings of upwards of 50 percent and a return on investment in under six months based on time savings across several sites. Additional outcomes explicitly reported include elimination of costly IT hardware and support, real time visibility into financial performance for all employees, tailored real time KPIs, faster access to accurate information to support decision making and expedited invoices and cash collection, and a low cost option to extend the platform to CRM and HR functions.
