In 2008, Calgary Co-op secured $2m to implement Oracle E-Business Suite as the core ERP Financial platform. The Oracle E-Business Suite implementation was positioned to centralize Calgary Co-op ERP Financial processes and provide a foundation for broader enterprise systems integration across finance and operational planning.
The implementation emphasized core financial management and end-to-end ERP workflows, while complementary efforts delivered warehousing and demand forecasting analytics to enhance inventory control. Oracle E-Business Suite was coupled with analytics workstreams for demand planning and warehouse visibility, aligning financial close and budgeting processes with inventory management.
The ERP Financial program was executed alongside a portfolio of infrastructure projects, including the expansion of Kronos Workforce Management Software, POS strategy and implementation, e-commerce and merchandising platforms. Architectural and operational design accounted for headquarters coordination and retail operations across 114 locations, creating centralized enterprise services for point of sale, workforce timekeeping, scheduling and store-level data aggregation.
IT governance and organizational change were core to the rollout, with IT restructured to report to the CFO and ongoing collaboration with the executive team to align technology to business strategy. A dedicated security team and cyber security best practices were established, and vendor contract negotiation was centralized to maintain service quality while achieving Sarbanes-Oxley, Payment Card Industry and Alberta Privacy Act compliance.
Program management included stewardship of a multi-million dollar IT budget and secured funding for the Oracle E-Business Suite deployment, and the initiative explicitly generated cost saving from the ERP implementation while the Kronos expansion drove cost reduction. The implementation configured Oracle Cloud HCM Absence Management to support standard absence and leave management functional capabilities, including absence types, entitlement rules, accrual calculations, and approval workflows, aligned to Calgary Co-op policy. Configuration work followed formal SDLC practices with requirements gathering, fit gap analysis, functional design, QA testing, and deployment under the direction of the Enterprise Applications Manager who previously led large scale ERP projects and R12 upgrades.
Integrations and data conversion efforts were explicitly delivered as part of the migration, focusing on synchronizing absence records with core HR and payroll modules and ensuring benefit enrollment consistency. The project scope supported Calgary Co-op operational coverage for approximately 3850 employees, with integrations and conversions designed to preserve historical absence data and maintain payroll accuracy during cutover.
Governance and operational controls were enforced through established incident management, problem management, change management, and release management processes using Calgary Co-op's ticketing system Numera footprints. Ongoing support practices referenced in the implementation included quarterly Oracle critical patch update processes, Oracle User Productivity Kit based training content deployment, and structured testing and rollout routines led by the internal IT team.
