The deployment targeted the companys AP organization and procurement workflows that handled as many as 120,000 vendor invoices annually from over 200 vendors, supporting invoice capture across paper scans and electronic submissions. The implementation centered on intelligent capture and document classification capabilities, using Artsyl InvoiceAction to extract vendor names, invoice amounts and key invoice metadata. Configuration work reduced manual indexing and data entry, with the solution eliminating approximately 95 percent of prior data entry tasks while automating sorting, filing and initial PO matching steps within the invoice lifecycle. Artsyl InvoiceAction was integrated with Canacs Laserfiche enterprise content management system to drive automated routing, coding, review and approval workflows, and to deliver completed approval data to the companys ERP system for transaction creation. Program analyst Sophie Maltais led process analysis and worked with Artsyl to tune capture rules and to align extracted fields with Laserfiche business rules that determine approvers and coding requirements. Governance was formalized through business rules in Laserfiche that accept captured metadata from Artsyl InvoiceAction, route invoices for digital approval either via email or the Laserfiche interface, and record approvals for ERP posting. As a result of the combined Artsyl InvoiceAction and Laserfiche configuration, Canac reduced invoice processing and approval from two weeks to two days, removed the majority of manual data entry, and established a scalable AP Automation foundation without adding headcount solely for invoice handling.
