The deployment focused on using Sage 300CRE (ex Timberline) to support project setup, contract issuance, payment scheduling and job cost tracking for project accountants and project managers.
The implementation configured core modules aligned to project accounting workflows, including project setup and cost coding, accounts payable entry and check printing, contract and payment schedule management, and specialized payroll handling for HUD and Davis Bacon requirements. Project accountants used the system to enter invoices, execute standardized reports and maintain AIA documents, while insurance and vendor records were maintained inside the application to support subcontractor compliance and lien waiver collection.
Operational coverage included finance and project accounting teams, project managers, the CFO, the warranty manager and site superintendents, with processes extending to subcontractors for HUD reporting and payroll compliance. The solution was operated alongside an external payroll processor, Paychex, with weekly and biweekly payroll submissions routed from internal time collection to Paychex for processing.
Governance and workflow controls were implemented to route coded invoices to project managers, the CFO and project accountants for approval, to request and approve Davis Bacon payrolls for subcontractors, and to collect and retain lien waivers and insurance documentation.
