Qualifacts Systems Legacy Qualifacts CareLogic Electronic Health Record ERP Services and Operations n/a 2020 2020
In 2020, Central Kansas Mental Health Center implemented Qualifacts CareLogic as its Electronic Health Record in a cloud based SaaS deployment to support behavioral health services across its urban and rural service area. The implementation occurred under a statewide stay at home order and was completed remotely, enabling Clinicians and administrative staff to access the CareLogic EHR from multiple locations across Dickinson, Ellsworth, Lincoln, Ottawa, and Saline counties. Central Kansas Mental Health Center implemented Qualifacts CareLogic as the organization wide Electronic Health Record to standardize clinical and administrative workflows. The CareLogic implementation focused on configurable clinical and administrative modules including scheduling, intake, treatment planning, service documentation, ePrescribing, consumer engagement, billing and reporting. A major technical task was building and deploying configurable forms to capture data at the point of care so that clinicians and front desk staff could update documentation and collect data where it makes sense to providers. The implementation emphasized workflow design and form configuration to replace patchwork in house enhancements with vendor supported configurability. Operational integrations were centered on CareLogic’s reporting and state submission capabilities, specifically using the CareLogic 4 Gen State Reporting Platform to batch upload clinical and administrative data for state reporting. The go live supported rapid scale up of telehealth service delivery during the COVID 19 public health response and sustained virtual services after the initial order lifted, with reporting that roughly 60 percent of contacts moved to telehealth while maintaining 24 7 crisis services. Governance and process changes included centralizing documentation templates and intake forms, shifting data collection to front line users, and aligning scheduling, utilization review and billing workflows around the EHR data model. IT and clinical leadership collaborated on form design and release cadence, with configuration work framed as a substantive deployment effort to ensure staff could adapt clinical workflows to the new system. Explicit outcomes reported by the organization include improved operational efficiency, time savings for clinicians and administrative staff, and faster payment cycles through integrated billing and state reporting. The cloud based Qualifacts CareLogic Electronic Health Record provided a unified platform for clinical documentation, administrative processes and state submissions enabling CKMHC to extend services across greater distances and maintain continuity of care during pandemic conditions.
