In 2021, the City of Ocala implemented MCCi Justfoia as a Case Management solution to address complex public records requests including large any and all email productions, and the city participated in a vendor beta group to validate workflows. The deployment targeted records management and IT functions, with explicit operational goals of accelerating email and attachment processing and improving public portal self service publishing.
The implementation used MCCi Justfoia modules for PST extraction, selective redaction, and a public portal, combined with automated ingestion and case creation workflows typical of Case Management systems. Configuration included indexing of extracted email content, selective redaction rules applied to attachments and message bodies, and publication workflows for posting responsive documents to the public portal.
Operational coverage focused on municipal records management and IT stewardship, where Justfoia handled end to end processing from mailbox ingestion through redaction and portal publishing. The rollout prioritized handling of any and all email requests and integrated the public portal as the citizen facing component for self service record retrieval.
The City of Ocala reported a 60 percent average reduction in processing time for any and all email requests and noted improved public portal self service publishing as a stated outcome, reflecting the combined use of PST extraction, selective redaction, and portal modules within MCCi Justfoia.
