In 2016, Civitas Resources implemented myQuorum DynamicDocs for Document Management to centralize land records and document workflows supporting its Land Administration function. The deployment targeted document control for lease and contract documentation, title opinions, curative paperwork, and division order records across the company’s Permian and Rockies operational areas.
myQuorum DynamicDocs was configured to provide document capture and indexing, metadata driven search, version control, secure storage, and workflow automation tailored to lease lifecycle and division order processing. Core functional workflows included legal description indexing, routing for title review and curative approval, structured storage of executed leases and contracts, and audit trail capture for document provenance and review history.
The implementation integrated myQuorum DynamicDocs into Civitas Resources’ land administration data environment to ensure documents and metadata flowed into the company’s overall data management system and division order processing workflows. Operational scope emphasized support for the Permian and Rockies divisions, enabling Land Administration teams to manage title research, lease tracking, and the documentation required for timely royalty and revenue disbursements.
Governance and process controls were established around role based access, document retention and auditability, and standardized review procedures for title opinions and curative documents. Operational ownership was aligned with Land Administration leadership to embed document workflows into lease, contract, and division order processes, ensuring consistent handling of land records and regulatory compliance.
