IFS Legacy IFS Ultimo EAM Enterprise Asset Management ERP Services and Operations MaxGrip 2012 2012
In 2012 Cogas Groep implemented IFS Ultimo EAM as its Enterprise Asset Management solution, establishing a centralized platform for maintenance and asset oversight across the organization. In 2022 Cogas engaged MaxGrip to optimize Ultimo usage, broaden system adoption, and strengthen integrations with business critical systems, evolving the effort from ad hoc support into a long term advisory and technical partnership. The implementation expanded beyond initial users in Infra and Media to include the Sustainability team, aligning IFS Ultimo EAM configuration to department specific processes such as smart meter and energy transition project workflows. MaxGrip and Cogas jointly implemented tighter process automation, configurable smart dependencies, and standardized work order and maintenance planning practices, with a roadmap to increase Ultimo Mobile utilization for field execution. Integrations were a primary focus, MaxGrip collaborated with Cogas and external partners to enhance data exchange with customer communication platforms, geographic information systems, and third party systems required for government reporting. Technical work emphasized automated routing of incidents to field engineers, elimination of manual planner handoffs where appropriate, and push button generation of audit and compliance reports, creating more reliable system to system flows. Governance and operational rollout were structured around co creation between MaxGrip consultants and Cogas application managers, combining periodic on site support with strategic advisory engagement. This governance model promoted a uniform way of working, transfer of routine administration to internal teams, and a pragmatic escalation path for complex configurations and integration challenges. Outcomes reported include higher efficiency through automated workflows, reduced human error via smart dependencies and optimized configurations, improved integrations that meet external reporting requirements, faster audit and compliance reporting, and consistent use of Ultimo across technical departments. Cogas and MaxGrip plan continued collaboration to further optimize mobile execution and incremental system improvements.
