In 2015 Colonial Savings implemented OnBase for AP. Colonial Savings had been using OnBase by Hyland to manage documents internally and to present information to credit unions through an online portal, and the volume and breadth of loan related documents that needed to be shared externally required a dedicated AP Automation approach to scale controlled document exchange and support compliance.
The OnBase for AP deployment concentrated on AP Automation capabilities common to accounts payable workflows, including document capture and imaging, automated indexing and metadata enrichment, OCR assisted data extraction, workflow routing for approvals, and centralized retention and audit logging. OnBase for AP was configured to treat loan related documentation and vendor invoices as unified payables artifacts, enabling automated processing rules and exception routing tied to accounts payable and loan documentation workflows.
Deployment extended the existing online portal integration that Colonial used to present information to credit unions, adding external access controls and rights management to enable secure document sharing with partner institutions. The operational scope covered accounts payable, loan operations, and compliance teams, with the system acting as the central repository and access point for externally shared loan documents.
Governance and process changes accompanied the technical rollout, standardizing indexing and retention policies, defining role based access for external users, and instrumenting audit trails to meet regulatory and partner reporting needs. The implementation positioned OnBase for AP as the controlled document and workflow platform to support compliance when exchanging loan related materials with credit unions.

Colonial’s implementation leverages Black Knight’s integrated servicing solutions so that Customer Service and Servicing Digital present aligned views, allowing support representatives to see the same consumer facing information during calls. Operational coverage focuses on servicing operations, customer service, loss mitigation and retention workflows, and the platform is positioned to support regulatory compliance processes and homeowner engagement across the servicing journey.
Governance and workflow changes emphasized centralized servicing procedures and guided user workflows, particularly within Loss Mitigation where advanced rules and validation reduce process omissions. The move to ICE Mortgage Black Knight MSP and companion applications is positioned to enhance the customer experience, support retention strategies and deliver greater operational efficiencies as stated by Colonial and Black Knight.
