| Artsyl | Legacy | Artsyl InvoiceAction | AP Automation | ERP | n/a | 2012 | 2012 |
In 2012, Cooperative Elevator deployed Artsyl InvoiceAction as part of an AP Automation initiative to remove paper from accounts payable and extend 24/7 digital access to invoices and related documents. The company had previously implemented Webdocs for non-transactional documents and faced a high-volume AP workflow processing roughly 1,000 invoices and 800 shipping documents per month, which drove the need for a rapid automation project delivered in under three months.
The implementation used the docAlpha digital transformation platform together with Artsyl InvoiceAction to provide automated document classification, data extraction and automatic matching of PO-based invoices to packing slips and orders. InvoiceAction was configured to batch-scan documents at plant sites, automatically file classified PDFs into Webdocs and surface extraction results in web forms for coding, exception handling and approvals.
Architecturally, the solution integrated docAlpha and Artsyl InvoiceAction with existing Webdocs storage and an ERP via a hook that transfers approved GL coding and ledger information into the ERP system. Operational coverage started with the retail side in phase one, with plant personnel scanning source documents, the accounts payable team handling exceptions and company vice presidents receiving electronic web-form approvals remotely.
Process governance shifted from physically routing bundled paper to an electronic review and approval workflow, where approvers access web forms that link directly to the stored PDFs and coded GL breakdowns. The new workflow eliminated physical file routing, centralized document access and established an electronic audit trail through docAlpha for approvals and retrieval.
Explicit outcomes documented by Cooperative Elevator include elimination of redundant manual data entry, ability for approvers to review and approve invoices remotely, faster retrieval of historical documents and reduced need for physical storage. The organization plans to expand the same AP Automation processes to its wholesale operations to further consolidate electronic invoice processing.
