In 2021 Coopland & Son implemented Sage 200 as its ERP Financial system during a targeted accounts system administrator engagement at the Scarborough finance site. The short term contract ran from March 2021 to May 2021 and concentrated on stabilizing supplier ledgers and configuring core financial functionality for the manufacturing group of about 1600 employees.
The implementation work focused on three explicit signals, the accounts payable cleanup on Sage200Cloud, the deployment of a Fixed Assets capability onto Sage 200, and the configuration of e-Payments within Sage 200. Functional activities included creditor account reconciliation and supplier ledger remediation, establishing a fixed asset register with capitalization and accounting posting workflows, and enabling payment creation and posting flows to support electronic payment processing.
Architecturally the engagement used Sage200Cloud as the operational instance of Sage 200, with configuration centered on the general ledger, accounts payable ledger, and the fixed assets module typical of the ERP Financial category. Workstreams were centered in the Scarborough finance team, with the Accounts System Administrator role executing system configuration, data cleansing, and module parameterization prior to handover to internal finance staff.
Governance and rollout were executed as a site level finance program, using a time boxed contract to remediate creditor balances and deploy fixed asset and e-payment capabilities into live transactional processing. In 2020, Coopland & Son implemented Cybake bakery management software as a targeted Food and Beverage ERP deployment to automate replenishment across its 156 retail shops, two production bakeries and a fleet of sandwich delivery vans operating in Yorkshire, Lincolnshire, Nottinghamshire and the North East. The implementation was scoped to replace manual forecasting workflows in stores and to centralize order generation and stock replenishment across the retail estate.
The deployment included Cybake bakery management software for sales and stock analysis and in 2023 the company installed Cybake ISB retail production planning software to control in-store sandwich production across the entire retail estate. Functional capabilities implemented include automated demand analysis, daily production and delivery calculation, tablet-based store interfaces for order generation and data capture, and mobile capture of deliveries, returns and transfers to remove paper processes.
Operational coverage spans store level staff, area managers and a central operations function led by operations manager Carole Hay, who explained the move from pen and paper forecasting to centralized order control. Governance changes formalized central order management, with area managers discouraged from routinely editing generated orders, enabling a more controlled workflow for amendments and approvals.
The system has enabled more responsive promotion handling and seasonal stock adjustments for coastal holiday towns such as Scarborough, Skegness and Filey, supporting faster data-driven decision-making and reduced paperwork. Store staff report increased confidence using Cybake on tablets, and the solution has been used to optimize sales and reduce waste while providing the ability to rapidly generate amended orders when promotions or quick fixes are required.
