Automatic data capture and OCR technology were instrumented to intake invoices and receipts, and the implementation included user acceptance testing with outsourced validation, creation of a BasWare Alusta user manual, and ongoing development and restructuring procedures to refine capture and coding rules. Operational integrations included document tracking that identified submission channel and timestamping for mail and email, and transfer of approved transactions into the ERP for downstream posting, supporting both AP and inventory costing flows. Functional modules and capabilities implemented included invoice capture and matching, TEM processing, voucher validation, and executive reporting, with an Executive Dashboard surfaced to highlight voucher and payment volume and vendor spend patterns. Governance and process changes accompanied the technology rollout, including consolidation of five accounting service centers into a single centralized AP organization, supervision and training of the AP team, vetting vendors through RFPs and proofs of concept, and procedures to drive vendor adoption of electronic payments. Explicit outcomes documented during the BasWare Alusta program included a reduction in average invoice processing time from over 14 days to 2.67 days, a cost per invoice under ten dollars, an increase in monthly voucher throughput while reducing headcount in the processing team, and a twenty percent reduction in paper checks via targeted electronic payment enrollment.
