The deployment targeted accounts payable operations within the professional services firm, leveraging a cloud native Kofax ReadSoft Online instance to provide scalable invoice processing and to remove repetitive manual entry work across finance teams. Kofax ReadSoft Online was configured to provide invoice capture, optical character recognition and data extraction, automated validation and interpretation of supplier invoice data, and rule based routing for approval and posting workflows. The solution was implemented as a cloud service, always on the latest version to eliminate upgrade projects, and prioritized a user friendly interface and short time to value during configuration. Operational integration focused on supplier mailbox orchestration, where suppliers send invoices to individual mailboxes that automatically forward to Online's mailbox and are processed based on predefined rules. The implementation addressed international invoice volumes, handling roughly 25,000 invoices annually at go live, with conservative projections of 40,000 to 45,000 invoices over three years, supporting the scalability requirement. Dynatos served as the implementation partner, and internal governance was driven by a business case prepared by BI Analyst Martin Lønsmann that documented KPIs including investment to expected earnings alignment, significant resource savings, user adoption priorities, quick access to support, and an expected return on investment of approximately six months. Users were kept engaged on the sidelines to provide input on data capture, verification and process streamlining, which shaped rules and exception handling during rollout. Within three months the organization reported a 50% reduction in invoice handling time, a marked decrease in routine processing for the primary AP employee, and reallocation of capacity to value creating work with improved job satisfaction. The combination of cloud deployment, mailbox based intake, rule driven processing and ongoing user involvement delivered rapid realization of Kofax ReadSoft Online for AP Automation at Dansk Ingeniorservice. |
