In 2018 DataStax migrated its accounting and revenue functions from Intuit Quickbooks Enterprise to Workday Financial Management. The ERP Financial implementation targeted accounting and revenue teams and was scoped as an end to end finance transformation delivered on a four month timeline from vendor selection to go live.
Workday Financial Management was configured to support core finance modules including General Ledger, Procurement, Accounts Receivable, Accounts Payable, Bank Reconciliation and Revenue Recognition. The implementation included full data migration, transaction mapping and configuration of financial close workflows to support a compressed month end close cadence.
The deployment included 11 integrations tied to banking, payroll disbursement, stock administration, benefits and professional services time and expense tooling. Named integration endpoints in the program included OSV for payroll disbursements and tax withholdings, Certent for stock administration, Sequoia ClearBenefits for benefits deductions and reconciliation, and time and expense platforms Replicon and Expensify to capture consultant time and project expenses for billing and revenue recognition.
Governance was run by a Sr Program Manager who managed the full cycle ERP implementation, coordinated cross functional teams and communicated status, risks and transition plans to all levels of management. The rollout centralized finance processes across departments and materially shortened the close process from seven weeks to 14 days, while maintaining a focus on controls, mappings and operational handoffs between accounting, revenue operations and payroll.

In 2019, DataStax implemented Sterling Background Check as a BackGround Screening application to centralize candidate screening and support Talent organization workflows. The Sterling Background Check deployment used Sterling Talent Solutions technology and was positioned to manage background checks, onboarding gating, and integration points with recruiting operations.
Implementation work included designing and implementing screening orchestration and standard recruiting workflows, plus configuring interview evaluation distribution and tracking. The team developed and implemented strategies, workflows and processes within the Talent organization, tracked ongoing recruiting activities and delivered weekly recruiting metrics, and trained new and existing recruiting team members on updated processes.
The Sterling Background Check implementation integrated explicitly with Workday for candidate record synchronization and recruiting team support, with DocuSign for form execution, and with SterlingOne and HireRight as part of the background screening toolset. Operational coverage focused on the recruiting function, employer branding touchpoints for internal and external websites, and the employee referrals program, while audio and virtual interview tooling such as Blue Jeans and productivity tools in the Google suite were used alongside screening workflows.
Governance and rollout established a point of contact for Workday support within recruiting, instituted process ownership for interview evaluation management, and incorporated ongoing training and process updates into standard recruiting operations. The configuration emphasized system-driven workflows, reporting cadence, and procedural controls to operationalize BackGround Screening within DataStax recruiting and talent functions.

The deployment targeted Professional Services Automation capabilities to centralize time and expense capture for professional services consultants and to align project accounting with Workday Financials across the organization.
Workday Professional Services Automation (PSA) was configured to capture project level timesheets, expense reporting, and to support project cost pooling and revenue recognition workflows consistent with Professional Services Automation functional patterns. The implementation extended existing time tracking designs for non exempt employees into project timesheets and replaced Expensify for expense capture, creating a single entry point for time and expense against projects to feed billing and cost accounting processes.
The PSA instance was integrated into the broader Workday ecosystem, linking project time and expense records into Workday Financials and Workday HR data flows. The wider Workday program included explicit integrations for payroll and benefits to Sequoia ClearBenefits, stock administration with Certent, and payroll disbursement and tax processing with OSV, supporting consistent employee and payroll master data across systems. Operational coverage included professional services consultants, accounting and revenue teams, and intersected with sales and legal workflows through a Salesforce org and a custom contract repository built on DataStax technology.
Program governance was led by a senior program manager who planned, scoped and delivered multiple IT related business initiatives from concept to delivery, managing status, risks, timelines and transition plans across cross functional teams. The broader Workday rollouts delivered core financials in four months, reducing the financial close from seven weeks to 14 days, and completed payroll delivery in eight weeks, outcomes that supported the PSA go live and recurring project accounting cadence.
