SAP Business One was configured to support purchase ledger workflows, accounts payable invoice processing, supplier statement reconciliation, and a centralized general ledger capable of multi entity accounting. Configuration included entity aware chart of accounts, intercompany posting rules, payment run orchestration for bi monthly and ad hoc schedules, and role based authorization mapped to the AP Supervisor and AP Manager functions.
The implementation integrated SAP Business One with Adaco to align site level procurement and ordering with finance postings, supporting AP teams in processing invoices and reconciling supplier statements. Operational coverage centered on the London head office finance team where an AP Supervisor manages four AP analysts, and extended to multi site accounting teams across the restaurants and hotel.
Governance changes reinforced purchase ledger policies, shared inbox management, and regular reconciliations to ensure accuracy of the AP section of management accounts, with the AP Supervisor coaching staff and stepping in during the AP Manager's absence. The rollout emphasized reducing spreadsheet dependence through system configuration while retaining Excel based tasks such as V Look Ups and Pivot Tables, and continuous process reviews to improve operational efficiency and maintain AP controls.
