Intuit Quickbooks Enterprise was used to centralize core financial capabilities typical of ERP Financial systems, including general ledger posting, cash receipts processing, bank reconciliation, accounts receivable management and financial reporting. The Diocese of San Jose Financial Policy Manual explicitly requires that Collections be logged and recorded while preventing Count Team members from recording Collections in QuickBooks or holding check writing authority, establishing a strict segregation of duties between physical cash handlers and system recorders.
Physical cash handling policies were integrated with application level controls, aligning QuickBooks user roles and permissions to documented procedures such as use of tamper proof pre numbered Collection Bags, sequential Collection Bag logs, sealed bag custody, locked safes and two person counting rules. The manual mandates written notifications for missing or out of sequence bags, restricted safe access, appointed personnel to remove bags for counting, and that Count Team members not be ushers, distributors of Collection Bags, or recorders in QuickBooks, preserving separation between custody and electronic posting in Intuit Quickbooks Enterprise.
The implementation combined procedural governance, physical custody rules and application access restrictions so that posting of receipts in Intuit Quickbooks Enterprise is performed by designated accounting staff rather than cash handlers. Camera and off site image storage recommendations in the policy supplement these controls, creating an operational model where ERP Financial recordkeeping and on the ground cash handling are functionally separated.

Operational integrations explicitly documented include coordination with third party benefits administrators and an outside retirement vendor for retirement paperwork and monthly bank statement reconciliation, plus routine processing of State Disability Insurance and Paid Family Leave notices with the Employment Development Department. The solution is used alongside the ADP payroll program for payroll deduction updates and benefits-related payroll transactions, and it supports cross-functional workflows with bookkeepers, site administrators and the Director of Safety and Emergency Procedures for OSHA and safety committee coordination.
Governance and process design retained Benefits Manager oversight with a designated benefits administrator role responsible for compliance with Federal and California requirements including FMLA, CFRA, SDI, PFL, COBRA, ERISA and HIPAA. The rollout emphasized procedural controls for approvals, documentation capture for life events, benefits orientation for site administrators, and daily operational processes for benefit inquiries, issue resolution and vendor liaison activities using ADP Workforce Now.
