In 2021, Dixie Cummings contracted Redmap AP Automation in the AP Automation category to address a heavily manual accounts payable function. The distribution company sources furniture from Vietnam, Malaysia, and China, operates approximately 70,000 square feet of warehouse space across national and international sites, and employs around 220 people, which shaped the implementation scope.
Redmap AP Automation was configured to automate invoice capture and the approval workflow, handling up to 1,000 invoices automated each month as part of initial operations. The deployment was staged, with initial configuration focused on non purchase order invoice processing, and a planned second stage to enable invoice to purchase order matching for the Malaysian office.
The implementation integrated with the company financial application Pronto ERP for payment processing and posting, and targeted operational coverage across Australia, New Zealand and the Malaysian branch. Operational inputs reflect the business volume, with roughly 500 supplier invoices monthly locally, and over 1,000 invoices monthly processed by the Malaysian office, including freight forward invoices which required a distinct automation approach and remain a development focus.
Governance and workflow changes centralized previously ad hoc approval flows that were tracked on spreadsheets and managed by a one person AP team, replacing manual scanning, email approvals and manual data entry with system routed approvals and record keeping. The project used weekly scrum meetings for delivery cadence and was rolled out progressively, with the first stage going live in August 2022 and the second stage scheduled for early 2023 to extend PO matching capabilities.
Early outcomes cited by the financial controller include fewer errors, measurable time savings for approvers across branches, and high user adoption because the Redmap AP Automation interface became part of daily routines. The implementation proceeded smoothly despite an AP staff turnover just prior to go live, and the organization is pursuing additional automation opportunities informed by the Redmap deployment.

In 2013, Dixie Cummings upgraded its Pronto Xi installation and implemented Pronto XI BI in the Analytics and BI category to centralize reporting and operational intelligence. Pronto XI BI was configured to deliver scheduled and trigger-driven reporting, producing fully customised daily executive reports at 4am, incident-trigger reports, tailored seven day container shipment reports for major customers and morning picking list reports for warehousing. The deployment also used Pronto Xi TrueForm Neo to automate invoice generation and distribution, consolidating previously external databases into Pronto XI for faster report generation.
The implementation incorporated electronic data interchange with the companys largest customers to feed order and shipping data into Pronto XI BI, enabling container-level inventory visibility and shipment scheduling across nationally and internationally situated warehouse sites. Business functions impacted include procurement, warehousing, distribution, sales order management, invoicing and payroll, with directors, warehousing staff and customers receiving role-specific reports.
Governance was driven as an upgrade of the existing Pronto Xi environment, with IT-led configuration and phased report development aligned to budget and customization depth. Outcomes stated by the company included removal of multi-day manual reporting, automated operational reports that improved customer satisfaction for shipment visibility and greater efficiencies in picking and invoicing, while Pronto Cloud provided improved connection reliability.
