The implementation used EmploymentHero ATS modules including SmartMatch job matching, configurable screening rules, role-specific job descriptions, stage-based messaging templates and candidate ranking. Configuration emphasized role-aligned criteria for leadership and front-line roles, capturing behaviours such as QSR exposure, people leadership and problem-solving, so managers could surface shortlists without manually sifting thousands of applications.
Integrations were implemented to operationalize candidate communications, with automated emails linked to managers Outlook accounts to send stage updates and acknowledgements. Operational coverage targeted company-owned restaurants in NSW and VIC, supporting a recruitment cadence of roughly one restaurant every two weeks and staffing teams of 60 to 80 people per site, enabling hiring to scale at site level rather than central HR alone.
Governance was formalized through consistent screening rules and templated job descriptions, effectively upskilling restaurant managers in structured recruitment practices without formal HR training. The Applicant Tracking System enforced stage gates and communication templates to preserve employer brand and reduce ad-hoc screening variance, making hiring a guided workflow for first-time hiring managers.
Outcomes reported in the case study include automated shortlisting that converted application volume into interview-ready candidates, an estimated $500,000 in annual savings attributed to faster shortlisting through SmartMatch, and a reported $90,000 reduction in recruiter fees by empowering managers to hire like talent professionals.
