In 2024 Elomatic implemented M-Files to address heavy documentation growth tied to roughly 1,500 projects per year, selecting the application to strengthen its Document Management posture across project delivery. Elomatic deployed M-Files as the central document repository to make document management and retrieval faster and more efficient, a change intended to free time for core engineering and consulting work.
The implementation emphasized metadata-driven document organization, search and retrieval optimization, version control, and access right management consistent with Document Management best practices. Development work was tailored to Elomatic's needs to streamline classification and to simplify permissioning, enabling administrators to make sure the right people have access to the right documents.
Operational coverage focused on project teams managing technical design and consulting deliverables, with M-Files serving as the authoritative source for project documentation and engineering records. The M-Files deployment is positioned to reduce time spent locating material and to centralize control over document lifecycles across Elomatic's project portfolio.
Governance and usability changes accompanied the rollout, tightening access controls and simplifying user access management so security could be administered more precisely. According to Jari Åberg, Vice President of Digitalization, "Before M-Files, it often took a long time to find the material. Over the years, it became painfully difficult to find. We do about 1,500 projects a year, so you can only imagine how much documentation you accumulate in, say, ten years."
