In 2019, Encara implemented Xero as its core accounting platform to support finance and payroll operations, using Xero as the ERP Financial application for its aged and community care services. The engagement covered a concentrated contract for bookkeeper and payroll services between April 2019 and May 2019, focused on operationalizing payroll for roughly 500 casual employees across physiotherapy, podiatry and speech pathology services in Australia.
The Xero implementation emphasized payroll processing, employee master data management, and bank and credit card reconciliations. Functional capabilities configured in Xero included payroll for casual staff with travel allowance handling, sick leave administration for part time and full time employees, and routine credit card reconciliations, aligned with award and National Employment Standards rules.
Integrations connected Xero with Deputy, Employment Hero and Drive to support cross system employee information updates, timesheet alignment and document storage workflows. Operational ownership spanned Finance and HR process touchpoints, with the bookkeeper role responsible for onboarding and offboarding transactions, termination processing and synchronizing employee records across the three systems.
Governance and workflow changes were centered on applying the Clerical Award and Health Professional Award rules and enforcing NES compliance in payroll processes. The contracted scope documented payroll calculations, leave administration and record synchronization procedures, and maintained routine reconciliation and employee data update practices without referencing a named prior system.
