Esker Accounts Payable was configured to provide end-to-end capture and processing, including automated ingestion of paper and email invoices, optical extraction of essential invoice fields, and logic-based initial account assignment to accelerate coding. The solution includes an individually customizable, email-enabled approval workflow, and an audit-proof archive module configured to retain invoice records for 11 years. Architecturally, the implementation used Eskers cloud platform as a central processing layer that presents a single interface to the shared services center, enabling central management of both SAP R3 and SAP Business One postings. Incoming supplier invoices are assigned to the appropriate company code and ERP within Esker, then after verification and approval the platform pushes invoice data to the relevant SAP system where the invoice is automatically booked and the resulting SAP invoice number is returned and stored in Esker. Governance and process changes focused on role separation and approval controls, the platform enforcing a dual verification principle so the technical reviewer and the financial reviewer are distinct, and routing approvals based on accounting area and ERP affiliation. Workflows were individualized to reflect cross-site approval requirements and to initiate approvals directly from the Esker interface, reducing manual routing of paper and email invoices. The project reached practical use after a three month implementation period, with Esker Accounts Payable operating as the central AP processing layer and enabling automatic transfer, approval, SAP posting, and long term archival of invoices. The deployment emphasized multi-ERP orchestration, configurable workflow governance, and centralized invoice lifecycle management within the AP Automation domain.
