Stampli was used to code and process AP invoices for weekly check runs, and to formalize invoice-to-payment workflow steps that were formerly manual, aligning application configuration with month end close and audit preparation activities performed by the Senior Accounting Manager.
The implementation was integrated operationally with Epic Academy’s broader finance and payroll toolset, with explicit application-level adjacency to Blackbaud for accounting and Insperity for payroll. Operational coverage included accounts payable, core finance activities such as bank reconciliations and month end procedures, payroll processing inputs, and reporting tasks for CPS submissions and board financial reviews.
Governance and workflow changes were led through the accounting function, where the Senior Accounting Manager centralized approval routing, monthly and yearly close procedures, and the preparation of financial statements and audit deliverables. In 2017 Epic Academy implemented Blackbaud Fund Accounting as its Non Profit ERP backbone for school finance operations. The deployment established Blackbaud Fund Accounting as the primary system for fund accounting, general ledger control, and institutional financial reporting within the finance organization.
Configuration and functional scope centered on core fund accounting modules, general ledger processing, bank reconciliations, accounts payable workflows, and financial statement generation. The implementation was aligned with AP automation and payroll tooling, with AP processed through Stampli and payroll processed by Insperity, and payroll journal entries prepared for import into Blackbaud Fund Accounting.
Operational coverage included the finance and HR functions, supporting monthly and year end close procedures, preparation of income statements, balance sheets, cash flow statements and trial balances, and preparation of financial documents for year end CPS audit submissions. The system supported recurring operational tasks such as weekly AP check runs, bimonthly payroll processing, management of Chicago Teacher’s Pension Fund deductions and Vanguard contributions, and production of monthly board and quarterly CPS financial reports as part of school reporting into EPICENTER.
Governance and process changes were driven by the Senior Accounting Manager who codified month end and year end procedures, reconciliations for monthly closings, and the preparation workflows for audit and board deliverables. Implementation activity focused on unifying accounting, AP and payroll data flows into Blackbaud Fund Accounting to standardize reporting and audit preparation across institutional finance and HR functions.
