In 2015, Evolent Health implemented Workday Financial Management as its ERP Financial platform to bring core accounting processes in house and support month and year end close activities during an IPO cycle. The implementation was executed as part of an internal effort to centralize accounting activities formerly handled by an outside vendor and included direct participation in IPO related analyses and documentation in June 2015.
The Workday Financial Management deployment covered Financial Accounting and a broad set of finance modules, including Accounts Payable, Fixed Assets, Accruals, Prepaid amortization, Expense, Procurement, Projects and Project Billing, and Planning. Configuration work emphasized general ledger account structure and month over month GL analysis, monthly reconciliations for AP, prepaid, fixed assets and accrued liabilities, vendor maintenance, 1099 processing, revenue and deferred revenue accounting for SaaS and consulting services, and custom reporting and business process workflows to support billing and AR operations.
Integrations and operational automation were implemented using Workday Core Connectors and Workday Studio, with the implementation team responsible for designing and building integrations to third party systems and for troubleshooting integrated applications. Operational coverage included accounting, accounts payable, accounts receivable, revenue coordination and collections, and oversight of onshore and offshore AR coordinators, with the ERP integration team facilitating billing automation and month end reporting using Workday Financial Management.
Governance and ongoing support were structured around SOX compliant security configuration, ticket based support and release activities, and an Agile delivery framework for requirement gathering, design, testing and deployment. The program also embedded changes to accrual and month end close processes through recurring cross department meetings and system driven journal generation, while Workday configuration ownership included business process workflows, security administration and development of reusable reports.
