In 2017, Exide Technologies implemented Cashbook AR Automation in an AR Automation deployment to address manual lockbox and remittance processing across its accounts receivable operation. Prior to the implementation bank lockbox files were manually downloaded from banking software into Excel, individual customer remittances were manually allocated in the ERP system, deductions for unearned discount were created manually by customers, and customer remittances arrived in a variety of formats which required significant manual reconciliation.
The Cashbook AR Automation configuration centralized lockbox ingestion and normalised multiple incoming remittance formats into a single cash application workflow. Functional capabilities implemented included automated remittance matching, automated deduction capture for unearned discounts, configurable business rules for exception handling, and a workflow for prioritized resolution of unidentified payments.
Integrations focused on ingesting bank lockbox feeds and electronic payment captures and linking those payment records to the corporate ERP system for posting allocations and adjustments. The implementation addressed the specific challenge that electronic payments often did not contain remittance information by consolidating disparate remittance formats into a standard processing pipeline so that cash application could reference a unified remittance dataset.
Operational scope concentrated on accounts receivable and cash application teams, with process standardisation across incoming payment channels and the introduction of queue-based exception workflows for collections and payment research. Governance changes included establishing defined roles for exception resolution, rule sets for automated allocations, and audit trails for remittance decisioning to support ongoing AR operations.
