In 2012, Farmers’ Rice Cooperative implemented Microsoft Dynamics GP as its ERP Financial application to centralize finance and costing for corporate and mill operations. The implementation established a new role to support the VP/CFO and the Controller with month-end close processing and reporting, a role that was later eliminated.
The Microsoft Dynamics GP deployment covered core financial management, month-end close workflows, job costing and process costing capabilities, and inventory financial controls. Microsoft Dynamics GP was used alongside the Targit business intelligence tool for reporting and Microsoft Office for analysis and ad hoc project work.
Operational scope included finance, supply chain, domestic packaging, and international exports, with the system supporting liaison between corporate and mill operations for cost and process operation controls. Functional coverage emphasized detailed cost and variance analysis across customers, regions, countries and products, tracking of rough rice through milled and finished goods inventory, packaging materials purchasing control, and internal auditing of rice processes and cost tracking.
Governance and process changes included participation in budgeting and strategic planning, implementation project team membership for supply chain initiatives, and establishment of financial KPI and ratio reporting tied to the ERP Financial system. Configuration focused on integrating Microsoft Dynamics GP transactional accounting with Targit reporting to standardize month-end close, inventory costing, and cost analysis research of rice production and yields.

The deployment supported processing weekly, semi-monthly, and monthly payrolls including bonuses, terminations, and retroactive back pay for a 450 employee population composed of Union and Non-Union exempt salaried staff, using Certify Kronos Workforce Ready time and attendance for hours capture.

HR module workflows were used to record and complete status changes such as department transfers, pay rate changes, promotions, and W-2 related employee updates, and quarterly period-end processing was an operational cadence.
Operational controls included routine updates to tax and unemployment parameters, the team updating SUI, FICA, SUTA and STATE rates in the Kronos portal as part of payroll maintenance. Financial close coordination was executed with the Assistant Controller for General Ledger uploads, and quarterly Bureau of Labor Statistics inquiries were incorporated into compliance and reporting activities.
Governance was staffed through the Assistant Human Resource role who managed employee and manager compliance tasks and executed system changes in the HR module. Processes were organized around payroll cycles and quarterly reviews, embedding UKG Ready (ex Kronos Workforce Ready) as the primary Workforce Management system for payroll, time and attendance, and HR status maintenance.
