In 2014, FirstService implemented Intuit Quickbooks Enterprise within its ERP Financial landscape to support corporate accounting workflows and monthly close activities. The deployment centered on using Intuit Quickbooks Enterprise for transactional accounting and monthly bank reconciliations, with the application positioned as the primary ledger and reconciliation tool for subsidiaries across North America.
Intuit Quickbooks Enterprise was used directly to reconcile monthly bank statements and to manage accounting entries, while Excel workbooks and pivot tables were heavily employed to organize large volumes of financial data and to prepare interest and quarterly reporting packages. Functional capabilities exercised during the implementation included bank reconciliation, financial reporting preparation, and the creation of standardized Excel reporting templates to streamline monthly interest packages for subsidiaries.
The implementation environment included a co-developed SharePoint pilot reporting database, created with the Financial Systems Manager to aid the software transition from Lotus Notes to SharePoint, and to centralize reporting artifacts. Regulatory and compliance workflows were supported by Excel-based templates used to complete quarterly filings with Statistics Canada and the US Bureau of Economic Analysis, and by administrative processes for SOX related insider reports and whistleblower filings managed in coordination with the IT Manager.
Operational ownership resided with corporate accounting and the Corporate Controller, who received support preparing quarterly reports and reconciling subsidiary accounts. Governance and process changes focused on standardizing templates and reporting rhythms for monthly and quarterly periods, and on coordinating the technical transition to SharePoint for consolidated financial reporting and document management.

The environment also supported accounts payable reconciliation entries and routine vendor statement reconciliation, while staff maintained complementary project payment sheets and monthly utility consumption reports using Excel Vlookup and Pivot tables as part of operational procedures.
Operational coverage included close coordination with property managers, board approval workflows, and extensive liaison with internal and external parties to resolve billing and authorization issues expeditiously. FirstService used Yardi Voyager to connect accounts payable functions with property administration activities, ensuring pre-authorized payments and utility consumption records were updated in a timely manner across the managed portfolio.
Governance and process controls were established to require approved invoices, board approvals, and signed cheques before payment runs, and the implementation included formal onboarding, training, and mentoring of new staff to enforce consistent procedural execution. The system operated across accounts payable and property management teams to institutionalize workflow and authorization controls within the Real Estate Property Management environment.
