In 2020, Foundation Energy Management implemented DocVue Oil & Gas Document as its Document Management solution for accounts payable and joint interest billing workflows. The deployment concentrated on the finance organization, provisioning a centralized repository for scanned invoices, contract documents, and JIB records to support the AP team and corporate accounting functions.
DocVue Oil & Gas Document was configured to support document capture and scanning, OCR and indexing, role based access controls, routed approval workflows, and audit trails typical of a Document Management implementation. Operational use included invoice imaging and coded record retention to support a small AP team that processed more than 900 invoices weekly, with a named AP supervisor acting as final approver for high volume payable flows.
The DocVue environment operated alongside other oil and gas systems used by Foundation Energy Management, including Excalibur, Browser Query, Expense Wire, and SmartView, with staff responsible for onboarding and user management across those systems. The deployment supported scanner and data entry operator roles, joint interest billing clerks, and AP coding workflows, enabling document lookup and approval continuity across the accounting toolset.
Governance included documented vendor invoicing requirements, user training materials, and company wide onboarding procedures authored by AP leadership, together with workflow rules for vendor billing exception handling and coding standards for G and A invoices. Operational controls emphasized approval routing and vendor invoice validation to enforce policy and maintain a single source of invoice imaging and AP recordkeeping.
