In 2022 Gateway Family Services upgraded Sage 50 Accounts Professional to Sage 50cloud. The move placed the organisation's core accounting and payroll capabilities onto Sage 50cloud, within the ERP Financial category, to support finance, HR and payroll operations across the United Kingdom.
The implementation of Sage 50cloud consolidated functional modules for Accounts Payable, Accounts Receivable and Payroll. Accounts Payable workflows implemented include supplier setup, purchase order numbering, invoice matching to purchase orders, supplier statement reconciliation and BACS payment processing. Accounts Receivable capabilities include sales invoice issuance, payment receipt and allocation, customer master data management and credit control activities such as statement and reminder issuance. Payroll functionality covered weekly and monthly payroll runs, new starter and leaver processing, SMP SSP and SPP handling, FPS and EPS submissions to HMRC, P60 and P45 production, pension auto enrolment with NEST and epayslip distribution, with payroll journals that interface to the nominal ledger.
Operational integrations and coverage are explicit to the organisation's financial ecosystem, with BACS payment flows to banks and third parties, FPS and EPS reporting to HMRC, epayslip email distribution and monthly payroll journals integrated into the nominal ledger. The system supported end to end finance processes used by the Finance Administrator and budget holders, and was used to produce materials for external audit and Companies House filings across their UK operations.
Governance and rollout were led by the Finance Administrator who organised monthly budget meetings with budget holders, maintained supplier and customer data governance, and participated in annual external audits. The Finance Administrator successfully managed the upgrade to Sage 50cloud and operationalised the platform for AP AR payroll, bank reconciliation, petty cash and payroll accounting in line with existing finance and HR processes.

The deployment was operated by an in-house Finance Administrator and aligned payroll operations with existing finance responsibilities across accounts payable, accounts receivable, bank reconciliation, and petty cash management.
Sage 50cloud Payroll was configured to support end to end payroll workflows including weekly and monthly payroll runs, new starter and leaver processing, timesheet and expense handling, and statutory pay types such as SMP, SSP, and SPP. The implementation covered FPS and EPS HMRC submissions, production of P60s and P45s for year end, epayslip distribution and reprinting, and the generation of payroll journals that interface with the nominal ledger.
Integrations and operational touch points explicitly included electronic submissions to HMRC, BACS payments to HMRC and pension providers, and administration of the NEST pension scheme for auto enrolment. The payroll instance also interfaced with the organization ledger processes in Sage 50 Accounts Professional following a successful upgrade to Sage 50cloud, keeping payroll accounting aligned with supplier and customer posting activity.
Governance and process responsibilities were retained by finance, with the Finance Administrator managing PAYE and student loan notices, tax year end processes, payroll reconciliations, and regular budget meetings with budget holders. Operational coverage spanned core finance and HR recordkeeping, with personnel files maintained in manual and electronic form and payroll outputs used to support statutory filings and month end nominal ledger posting.
