In 2019, GEMS Education implemented Microsoft Dynamics AX, deploying Microsoft Dynamics AX_2012 R3 with Dynamics 365 used for functional and support activities in an ERP Financial capacity. The engagement focused on centralizing financial operations and establishing a multi-entity financial ledger environment appropriate for an education group operating with shared corporate finance processes and decentralized operating units.
The implementation delivered core ERP Financial functionality including generalized ledger, accounts payable, accounts receivable and procurement workflows, with explicit scope for customization recorded in a detailed Functional Design Document and logical scope artifacts. Project workstreams included requirement analysis, effort estimation for customizations coordinated with technical teams, and demonstration of product functionalities to stakeholders to validate design choices and identify cross module impacts.
Testing and rollout followed structured validation practices, with Conference Room Pilot sessions conducted on site, formal User Acceptance Testing and targeted training for key and end users. The program included end user enablement through training and CRP presentations, and the Functional Design Document informed integration and configuration decisions so that design issues could be addressed while preserving module interoperability.
Operational support was formalized through a central help desk with multi level support managed by the Assistant Manager ERP Support role, which handled daily Dynamics AX user support, supported Dynamics AX implementations for new entities, and ensured service desk SLAs were followed. Go live and post go live support were part of the operational plan, with continuous stakeholder communication and proposal of viable solutions to product lifecycle design issues.

Operational coverage centered on GEMS Education HR teams and business line managers in the United Arab Emirates, with the integration designed to pass candidate and hire data into Talent Management and compensation planning processes.
Project governance was driven by an HR project lead who devised and owned the project plan, identified and communicated key milestones to stakeholders, and coordinated staged handover to business as usual. Training plans were established for super users and support personnel to ensure operational readiness, and the broader project team led module level implementations across recruitment, performance, succession and compensation functions.
