In 2014, Genmed Group implemented SAP Business One as its enterprise finance system. The 2014 deployment of SAP Business One, an ERP Financial application, centralized core accounting and financial management for a professional services firm that supports around 41 NHS Trusts and manages 200+ contracts worth circa £100 million, with headquarters in Wales and offices in Weybridge and Burton upon Trent.
The implementation combined SAP Business One with a long-term deployment of the iDocuments purchasing and expense management solution. iDocuments provides invoice OCR and digitisation capabilities that replaced the prior manual email, print, type, file process, and it automates scanned invoice flow into SAP Business One to streamline accounts payable and expense workflows.
Integration between iDocuments and SAP Business One underpins operational coverage across finance, procurement and accounts payable functions, and extends to client-facing expense management for hospital customers. The integration enabled continuous processing of approximately 3,000 monthly invoices, supporting both Genmed and its NHS clients and preserving service continuity when offices were closed.
Governance and process transformation centered on automation of supplier invoice intake and expense approvals, enabling remote working for finance teams and creating a foundation for two new customer-focused portals that Genmed is building on top of the iDocuments automation. SAP Business One remains the transactional financial backbone, while iDocuments supplies automated document capture and purchase to pay orchestration within the ERP Financial environment.

| Vision33 | Legacy | Vision iDocuments Purchase to Pay | Procure to Pay | Procurement | n/a | 2020 | 2020 |
In 2020, Genmed Group implemented Vision iDocuments Purchase to Pay as its Procure to Pay solution to centralize purchasing and automate invoice processing across its managed services operations. The deployment targeted procurement and finance workflows to support Genmed’s vendor-neutral service model for NHS, health boards, private healthcare organizations, and public sector customers in the UK and Europe.
The implementation used the browser-based Vision iDocuments Purchase to Pay platform, including iDocuments Catalog, expense management, sales order processing, and accounts payable invoice processing modules. iDocuments was configured to present an approved, web-based purchasing portal that controls supplier choice and catalog ordering, while digitalizing expense claims and sales order workflows for operational consistency.
Vision iDocuments Purchase to Pay was integrated with SAP Business One to align purchasing and invoice transactions with ERP financials, inventory, and CRM records. The integration synchronized transactional document flows between iDocuments and SAP Business One to maintain financial control and inventory visibility, enabling finance and procurement teams to negotiate volume-based discounts by reducing supplier fragmentation.
Governance and rollout emphasized catalog governance and approval workflows to enforce approved supplier lists and purchasing policies, with operational ownership placed in finance and procurement. Genmed cited improved financial control and process automation as implementation outcomes, and noted Vision33 provides vendor support, a factor highlighted by CFO Ruth Billen as adding confidence in ongoing operations.
