Coupa Software Legacy Coupa Invoice AP Automation ERP n/a 2018 2018
In 2018, Gensler deployed Coupa Invoice to standardize accounts payable processing and to centralize invoice lifecycle management under an AP Automation platform. The implementation supported core accounting tasks described for the Accounting Technician role, including weekly accounts payable processing, employee expense report review, weekly check runs, cash receipt entries, monthly travel file reviews, balance sheet reconciliations, and preparation of monthly departmental cost reports. Coupa Invoice was configured to operate with invoice capture and approval workflows, supplier onboarding through the Coupa Supplier Portal, consultant invoice review and approval, and automated handling of employee reimbursements and P Card transaction reconciliation. The deployment aligned invoice processing controls with periodic reviews of open payables and outstanding checks, and supported manual entry exceptions and research workflows used to resolve processing issues. Operational integrations and handoffs were explicit, with staff responsibilities including manual timesheet entry in Deltek Vision and periodic upload and reconciliation of travel and reprographic costs into the accounts payable cycle. The implementation affected accounting, accounts payable, travel expense administration, procurement and finance functions, and required coordination to handle vendor and consultant communications, audit requests, and vendor profile setup in the Coupa Supplier Portal. Governance changes emphasized structured approval routing in Coupa Invoice, vendor account governance for new suppliers, regular month end reconciliations to the general ledger, and maintenance of monthly cost reporting processes. The configuration prioritized control over invoice approvals, compliance with Gensler expense policies, and operational workflows for resolving exceptions during the AP processing cycle.

Workday Legacy Workday HCM Core HR HCM n/a 2015 2018
In 2015, Gensler implemented Workday HCM as its Core HR platform. The deployment established a centralized HRIS for Gensler's approximately 6,000 employees in the United States, aligning core employee record management and organizational data into a single system of record. Workday HCM was positioned to support HR, talent acquisition, and learning administration functions across the business. Workday HCM was configured to manage standard Core HR modules including employee profile and position management, organizational hierarchies, and reporting services, and it creates and manages incoming report requests for Workday HRIS, Taleo ATS, and Saba LMS. Reporting workflows were scoped to support both scheduled and ad hoc report generation tied to employee lifecycle and recruitment data, with role-based access to HR reports and audit trails for report provisioning. Integrations emphasized reporting orchestration between Workday HCM, Taleo ATS, and Saba LMS, with a centralized request management process to route, prioritize, and fulfill reporting needs for HR, talent acquisition, and learning teams. Governance focused on formalizing a report request intake and approval workflow, establishing a single source of truth for HR data and clearer operational controls over cross-system report provisioning.

Lexalytics Legacy Lexalytics Intelligence Platform Natural Language Processing AI-Powered Application n/a 2018 2018
In 2018, Gensler implemented the Lexalytics Intelligence Platform as part of a firmwide research grant led by architects in its Los Angeles Aviation and Transportation Studio. The Lexalytics Intelligence Platform is a Natural Language Processing application used to support planning and design of airports and to surface traveler sentiment from public channels. Gensler architects used sentiment analysis and text mining capabilities in the Lexalytics Intelligence Platform to mine omnichannel social media data from dozens of America’s airports, finding signal in noisy customer feedback. Despite having no previous analytics experience, architects operated the platform directly to generate thematic insight and a deeper, data-driven understanding of what travelers actually experienced in airports. The implementation covered research workflows across the studio and informed planning and design business functions within airport projects, with findings disseminated firmwide under the research grant. Operational emphasis was on social listening, sentiment analytics, and text extraction to convert unstructured public feedback into actionable design intelligence.
