In 2011, Global Potential implemented Intuit Quickbooks Enterprise to centralize ERP Financial operations for its nonprofit finance function. The deployment emphasized core accounting workflows including cash receipts, accounts payable, payroll processing and general ledger consolidation under a single ERP Financial instance.
Intuit Quickbooks Enterprise was configured to support document imaging and transaction matching workflows, process payroll and file payroll filings on due dates, and prepare periodic financial packages. Monthly financial statement packages were prepared for management review, and quarterly packages including budget versus actual, forecast and cash flow were produced for Board presentation.
Day to day cash receipts, payables and payroll transactions were processed in QuickBooks Online while Intuit Quickbooks Enterprise provided the centralized financial reporting and control layer, with scanned source documents matched to transactions. Operational coverage focused on the finance and accounting teams in the United States, and the system supported grant accounting and reimbursement workflows to submit claims to the Department of State for ECA grant funding and to prepare and file quarterly Department of State reports.
Governance was structured around a recurring monthly and quarterly close and reporting cadence, with staff responsibilities to explain billing invoices and accounting policies to vendors, clients and internal teams. All accounting transactions were reviewed for adherence to the organizations accounting procedures and policies manual, with processes to work with staff to assure compliance and maintain filing and reporting discipline.
