The deployment was anchored in the Accounts Payable organization reporting to the Director of Merchandise Accounting and supported a small supervisory structure where an AP Supervisor led two direct reports and provided indirect oversight for Expense, Special Order, and eCommerce drop ship Accounts Payable activities. Coupa Expense is called out specifically for managing invoicing, expense procure to pay, and vendor onboarding through the Coupa Supplier Portal. The implementation emphasized core Expense Management capabilities including invoice capture and processing, approval workflows, automated invoice match and compliance tracking, and vendor maintenance for expense suppliers. Configuration responsibilities explicitly included expense vendor setup and ACH enrollment, weekly check and ACH payment runs for expense vendors, and processes to sustain Coupa compliance metrics and auto match rate targets. The AP Supervisor role included day to day training, operating procedure maintenance, and development of departmental KPIs such as auto match rates, Coupa compliance metrics, and aged transaction monitoring. Coupa Expense was integrated with SAP subsystems to support Special Order and eCommerce payables that service specialty product and home delivery operations, providing a junction between Coupa driven procure to pay flows and SAP driven order fulfillment accounting. Operational coverage extended to store merchants and vendor partners with the AP function responsible for vendor payments, vendor receivable reconciliations, and collections. The deployment supported cross functional orchestration between supply chain, merchandising, ecommerce, and store finance teams to ensure timely vendor payments and accurate payables posting. Governance and process controls were formalized through documented operating procedures, regular training cycles, and supervisor led performance coaching and hiring decisions. The AP Supervisor maintained responsibility for physical inventory reconciliation financials including weekend counts and variance reporting, and for ongoing education of supply chain stakeholders to improve controls and compliance. Coupa Expense served as the central Expense Management application for these controls, vendor onboarding, and payment processes within PGA TOUR Superstore.
