Microsoft Dynamics GP was configured to manage accounts payable workflows, vendor master maintenance, invoice processing and approval routing, supplier statement reconciliation, and processing of rent refunds and brokerage payments. The system was also used to record rental receipts and to process payroll related information for submission to HHS Payroll, reflecting ERP Financial modules such as payables, vendor management, and financial reporting capabilities.
Operationally the implementation bridged Finance, Payroll and Housing operations, enabling distribution of invoices for authorization by team leaders in accordance with the HHS Instrument of Delegation and submission of original invoices to HHS Finance for payment. Data exchange occurred with HHS Payroll and the organisation's housing system to keep rental receipts and refunds aligned between the housing system and Microsoft Dynamics GP, and monthly flash reports for metro operations were prepared for consolidation with broader HHS reports.
Governance and workflow changes included formalized invoice authorization routing, supplier record creation and reconciliation processes, maintenance of brokerage payment tracking spreadsheets, and standardized monthly flash reporting to support finance consolidation. The Microsoft Dynamics GP implementation was used to assist the Finance team to improve service delivery and to implement its annual business plan as part of ongoing operational practice.
