In 2017, Heckfield Place implemented IRIS CascadeHR for Core HR to centralize HR administration for the group across its hospitality and estate management companies. The deployment supported a Group HR function operating over three locations during the estate's pre opening stages, with the Group HR Administrator using IRIS CascadeHR as the primary system of record for employee lifecycle activities.
The implementation focused on Core HR modules and workflows for recruitment, onboarding, training and development, employee records, and leavers processing. Recruitment workflows captured CVs, telephone screening, and interview scheduling, while onboarding workflows delivered one to one company inductions, collation of new starter documents, starter data entry into IRIS CascadeHR, right to work verification and reference handling. Training and development workflows were configured to maintain training records and produce periodic reports for the Group HR Manager.
Operational coverage included HR administration across all group companies, with employee records maintained in both electronic and paper formats and staff communications distributed via letters, email and the staff newsletter. IRIS CascadeHR functioned as the centralized Core HR application used by HR and line managers to respond to staffing queries, manage long service awards and support staff engagement activities.
Governance and process changes embedded with the roll out assigned clear responsibilities for data entry, document verification and archival procedures to the Group HR Administrator, and established reporting routines to the Group HR Manager. End to end HR lifecycle controls were implemented for starters and leavers, including property return checks and file archiving, with IRIS CascadeHR serving as the authoritative personnel record for the group.

In 2018, Heckfield Place implemented Oracle OPERA Property 5 Management, deploying a Hotel Property Management solution to centralize reservations and front office operations at the Hampshire estate. The implementation prioritized core property management workflows to support the reservations desk, concierge services, payment processing and guest profile management.
Oracle OPERA Property 5 Management was configured to support reservations, guest profiles, the commission module, room feature records and an accurate floor plan, while voucher handling workflows were linked to GiftPro. Operational procedures captured manual confirmation letter generation, commission processing, invoice checks and semi automated reporting routines, including weekly pickup reports and monthly statistics produced with Excel macros.
The environment integrated with SynXis GDS, OTA channels and GuestFolio CRM, and day to day operations included follow up and rectification of integration issues and troubleshooting of system problems. Front of house and back office touch points were formalized through Opera PMS interfaces to coordinate show rounds, switchboard coverage, arrivals checks and payment processing.
Operational scope and governance centered on the reservations function and guest services, delivered by a single reservations agent supported through cross training of Guest Assistants and Guest Keepers and rota management in Riteq. Departmental SOPs, an induction pack, reply templates, FAQs and a key dates calendar were created to standardize workflows, complaint handling and arrivals procedures tied to the Oracle OPERA Property 5 Management implementation.
