UKG Legacy UKG Workforce Central Payroll (ex Kronos Workforce Payroll) Payroll HCM n/a 2016 2016
In 2016 Hillcrest HealthCare System implemented UKG Workforce Central Payroll (ex Kronos Workforce Payroll) to centralize Payroll and timekeeping for perioperative and specialty clinical units. The initial deployment focused on Kronos Payroll and Timekeeper functionality for the Surgery, PACU and Endoscopy departments, covering more than 150 employees and aligning payroll operations with departmental timekeeper workflows. Configuration emphasized time capture and payroll processing modules, including timecard management, pay calculation rules and departmental timekeeper administration. Operational responsibilities were embedded with administrative staff who supported Surgical Services and the Neuro Rehab Service Line, and the UKG Workforce Central Payroll implementation was used alongside procedural work such as taking minutes for the Surgical Services Executive Committee. Governance and process work included creation and editing of policies, organizing and implementing targeted lean projects, and assigning accountability for completing work orders and clerical functions. Day to day operational support tied to the payroll deployment included filing, faxing, scanning, sorting and distributing mail, and ordering supplies, establishing clear operational ownership for Payroll within the clinical service lines.

Epic Systems Legacy EPIC EHR Electronic Health Record ERP Services and Operations n/a 2016 2016
In 2016 Hillcrest HealthCare System implemented EPIC EHR, deploying Epic Systems' Electronic Health Record platform as part of an Ardent Health Services initiative to consolidate 14 hospitals and three multi-specialty physician groups onto a single clinical and administrative platform. The program carried an estimated project cost of $150 million and was framed to consolidate distributed registration, billing, clinical applications and population health capabilities under one Epic Systems Electronic Health Record environment to streamline caregiver workflows. EPIC EHR rollout included core modules and capabilities typical of an enterprise Electronic Health Record implementation, specifically patient registration and scheduling, clinical documentation and bedside nursing workflows, revenue cycle and billing elements, and population health management functionality. The project also incorporated Epic's MyChart patient portal functionality to enable patient messaging, e-visits, online questionnaires and appointment scheduling, and Epic staff were scheduled to work alongside Ardent and Hillcrest clinicians and operational staff to configure and build the software platform. Governance for the Hillcrest deployment involved nearly 500 Ardent team members across physicians, bedside nurses, registration and discharge staff who participated in demonstrations and assessments to shape configuration and workflow changes, with a build window described as nine to ten months and a phased go-live cadence beginning in fall 2017 and continuing quarterly. The stated operational objective was to give caregivers more time at the bedside and to support higher quality clinical care and more efficient customer service across the consolidated system.
